Terms & Conditions
1. DEFINITIONS
"Company" means Strong Stages Ltd.
"Hirer" means the individual, company, organisation, charity, local authority or event organiser hiring equipment and/or services from Strong Stages Ltd.
"Equipment" means all stages, stage decks, trailer stages, inflatable roofs, trussing, barriers, accessories and any other equipment supplied by the Company.
"Event" means the event for which the Equipment is hired.
"Hire Period" means the agreed period stated on the quotation, invoice or hire agreement.
2. BOOKINGS AND ACCEPTANCE
2.1 A booking is not confirmed until the Hirer has accepted the quotation in writing and paid the required deposit.
2.2 The Company reserves the right to refuse any booking without providing a reason.
2.3 Acceptance of a quotation or payment of a deposit constitutes acceptance of these Terms and Conditions.
3. PAYMENT TERMS
3.1 A non-refundable deposit of 50% of the total hire fee is required to secure the booking date.
3.2 The remaining balance must be paid no later than 14 days before the Event date.
3.3 For bookings made within 14 days of the Event, full payment is required immediately.
3.4 Failure to pay by the due date may result in cancellation of the booking without refund of any monies already paid.
3.5 The Company reserves the right to charge statutory interest and recovery costs on overdue invoices.
4. CANCELLATION POLICY
4.1 All deposits are non-refundable.
4.2 If the Hirer cancels:

More than 30 days before the Event: deposit retained.

15–30 days before the Event: 75% of the total hire fee payable.

14 days or less before the Event: 100% of the total hire fee payable.
4.3 Any cancellation must be made in writing.
5. DELIVERY, ACCESS AND COLLECTION
5.1 The Hirer is responsible for ensuring safe and suitable access to the site.
5.2 The Hirer must inform the Company of any access restrictions, height restrictions, narrow roads, weight restrictions or unsuitable ground conditions.
5.3 Additional charges may apply where access difficulties result in additional labour, equipment or delays.
5.4 If access is unavailable upon arrival, the full hire charge remains payable.
5.5 The Hirer shall ensure the site is clear and ready for installation upon arrival.
6. SITE CONDITIONS
6.1 The Hirer must provide a level, stable and suitable surface for installation.
6.2 The Company reserves the right to refuse installation where ground conditions are deemed unsafe.
6.3 The Hirer is responsible for any costs arising from unsuitable site conditions.
6.4 Any underground services, utilities or structures must be clearly identified to the Company before installation.
7. HEALTH AND SAFETY
7.1 The Hirer shall comply with all relevant Health & Safety legislation.
7.2 The Hirer shall ensure the Equipment is used only for its intended purpose.
7.3 No modifications may be made to the Equipment without written approval from the Company.
7.4 The Hirer shall ensure only competent persons use the Equipment.
7.5 The Hirer shall not exceed any loading limits specified by the Company.
7.6 Smoking, naked flames, fireworks, pyrotechnics or hazardous materials are prohibited on or near the Equipment unless expressly approved in writing.
8. INSURANCE
8.1 The Hirer shall maintain adequate Public Liability Insurance for the Event.
8.2 The Hirer shall be responsible for all Equipment from the point of handover until collection.
8.3 The Hirer shall insure the Equipment against theft, loss, vandalism and damage for its full replacement value.
8.4 Evidence of insurance may be requested by the Company prior to installation.
9. LOSS OR DAMAGE
9.1 The Hirer is responsible for any loss or damage to the Equipment during the Hire Period.
9.2 Fair wear and tear excepted.
9.3 The Hirer shall reimburse the Company for repair or replacement costs arising from damage, misuse, negligence, theft or vandalism.
9.4 The Company reserves the right to charge reasonable administration costs in addition to repair or replacement costs.
10. SECURITY
10.1 Where Equipment remains on site overnight, the Hirer must ensure adequate security arrangements are in place.
10.2 The Equipment must not be left unsecured or accessible to the public when unattended.
10.3 The Company accepts no liability for theft or vandalism occurring during the Hire Period.
11. WEATHER CONDITIONS
11.1 The Hirer acknowledges that outdoor events are subject to weather conditions.
11.2 The Company reserves the right to suspend installation, operation or use of Equipment if weather conditions create a safety risk.
11.3 The Hirer shall follow all safety instructions issued by the Company regarding wind, rain or severe weather.
11.4 No refund shall be given due to adverse weather conditions once installation has commenced.
11.5 The Company reserves the right to stop performances and clear the stage if weather conditions become unsafe.
12. EVENT LICENCES AND PERMISSIONS
12.1 The Hirer is responsible for obtaining all licences, permits, permissions and approvals required for the Event.
12.2 The Hirer shall comply with all local authority, licensing, planning and environmental requirements.
12.3 The Company accepts no liability for the Hirer's failure to obtain necessary permissions.
13. LIABILITY
13.1 The Company shall not be liable for indirect or consequential loss, including loss of profits, business interruption or reputational damage.
13.2 The Company's total liability shall not exceed the total value of the hire contract.
13.3 Nothing in these Terms excludes liability for death or personal injury caused by negligence or any liability which cannot legally be excluded.
14. FORCE MAJEURE
14.1 The Company shall not be liable for failure to perform its obligations due to circumstances beyond its reasonable control, including but not limited to:

Extreme weather

Flooding
-
Fire
-
Industrial disputes
-
Government restrictions
-
Pandemics
-
Terrorism
-
Civil unrest
-
Vehicle breakdowns
-
Road closures
14.2 In such circumstances the Company shall make reasonable efforts to reschedule services where possible.
15. PHOTOGRAPHY AND MARKETING
15.1 The Company reserves the right to photograph Equipment installations and use such photographs for promotional, marketing and portfolio purposes.
15.2 If the Hirer does not wish images to be used, they must notify the Company in writing before the Event.
16. GOVERNING LAW
16.1 These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
16.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
